For independent auto repair shops

Clearer bays. Callbacks that get made. Invoices issued the day the car is done.

GarageHub keeps appointments, check-ins, inspections, estimates, work orders and invoices in one place, on the laptop at the counter and the tablet in the bay.

Invitation-only preview · Runs in the browser on any laptop or tablet, nothing to install · GarageHub Free for one person, no credit card needed for the Free plan · GarageHub Pro is $99 a month with no per-user fees.

Three things we decided early

One price for the whole shop.

GarageHub Pro is $99 a month. Add every advisor and technician you have; the price does not change.

Your records are yours.

The owner can download the whole workspace from Settings at any time and restore it later from that file or from a saved snapshot. Work orders, invoices and payments also export as CSV.

Say what it does, not what it might.

Payments are recorded, not processed. Messages are drafted, not sent. Approvals are acceptance records, not signatures. We write that on the page where it matters.

How it fits the day

A day at the shop, start to finish

Each step links to the one before it, so less gets retyped and less has to be carried in someone's head.

  1. Schedule
  2. Check in
  3. Inspect
  4. Estimate
  5. Customer review link
  6. Invoice
  7. Reports

7:30

Open the overview.

Open work orders, cars ready for pickup, upcoming appointments and open order value, before the first customer walks in.

8:05

Check the car in.

Mileage, fuel level, key tag, the customer's concerns, walk-around notes and the promised time, saved to the vehicle in one step.

10:40

Inspect, estimate, get the answer.

Checklist findings become proposed services. You copy the estimate's review link into your own text or email; the customer's decision comes back as a record on the estimate.

4:30

Finish, invoice, record the payment.

Marking the work order complete lets you issue a numbered invoice. The payment you took at the counter is recorded against it.

Scheduling

See every bay at a glance.

Each appointment can carry a bay and a technician. The bay board shows one column per bay for the day, with every job placed by its start time and estimated duration. Two jobs in the same bay at once, or one technician in two bays at once, are flagged, never blocked. You decide.

  • Week overview with scheduled minutes against bays × hours; closed days hatched
  • Capacity you set once: bays, opening time, hours per day, open days
  • A daily load strip flags overbooked slots and days over capacity
  • Click any block to open the appointment
  • Bay board and week overview are part of GarageHub Pro

Customer follow-up

The callbacks you promised, on today's list.

Every phone call, text and counter conversation can be noted on the customer's record by whoever handled it, linked to the work order, estimate, invoice or appointment it was about. Reminders with a due date and an outcome show up on the overview, so "I'll call you when the part's in" doesn't live on a sticky note.

  • Conversation notes per customer with direction (in / out) and a link to the record
  • Reminders and follow-up tasks with due dates and outcomes, surfaced on the overview
  • Message templates with placeholders, filled in locally for you to copy into your own text or email
  • Consent history per channel, kept as an internal record
GarageHub does not send or receive texts or emails. It keeps the record so nothing gets forgotten; you message customers from the phone and email you already use.

Estimates, invoices, payments

From authorized estimate to numbered invoice, without retyping a line.

Convert the authorized estimate into the repair order, finish the job, mark it complete and issue the invoice from the work order. The invoice is a numbered snapshot of the lines, fees, discount, tax and totals at that moment; it never changes afterwards. Payments, refunds and credits are recorded against it as separate entries, and the balance is worked out from those records.

  • Estimates built from the work order's labor and parts lines, canned services and saved items
  • Per-line taxable flags, discounts and fees; tax rates you enter in Settings
  • Sequential INV- numbers; mistakes are voided with a reason, never deleted
  • Payments are recorded by the shop after money changes hands — cash, a card taken on your own terminal, check, however you take it

Digital inspections

Show the customer what the technician saw.

Build checklist templates once, run them on the tablet beside the car, mark each item Good, Attention or Immediate, add a note and a photo. Findings carry proposed services that the estimate can import. When the inspection is complete, a customer summary link shows the statuses, the recommended services without prices and the photos, never the technician's notes.

  • Templates up to 100 items; Not checked / Good / Attention / Immediate / Not applicable per item
  • JPEG, PNG or WebP photos up to 5 MB, up to 20 per item (Pro)
  • Customer summary link with a one-time acknowledgement by typed name (Pro)
  • Deferred work report lists what the customer declined, so you can bring it up next visit (Pro)

Work orders and records

The whole job on one work order. The whole history on one customer.

Work orders

Service, technician, status, labor and parts lines, the check-in, the estimates and the invoice all live on the work order. Statuses are workflow steps: marking an order Completed makes it eligible for an invoice but doesn't issue one or record a payment.

Customers and vehicles

Search a customer, open a vehicle, and see every check-in, inspection, estimate and invoice in order. The vehicle editor checks a VIN's format, check digit and model-year plausibility offline; no decode, no lookup.

Staff accounts (Pro)

Everyone in the shop signs in as themselves.

Invite the people who work in the shop; each one gets their own account and only the access their job needs. Managers and advisors can edit everything; technicians can read everything and change nothing; only the owner restores history, manages staff or changes shop settings. Every sign-in, invitation and role change is written to an audit log.

  • Invitations by one-time code you hand over yourself
  • Two-step verification with recovery codes, per account
  • Owner-issued password reset codes
  • Audit log readable by the owner and managers

What GarageHub does, and what it doesn't.

Does In the preview

  • Keeps every record of the job: check-in, inspection, estimate, invoice, payment entries
  • Shares read-only estimate and inspection links the customer can answer
  • Records roles, sign-ins and security events for your team
  • Exports your whole workspace, and your invoices and payments as CSV

Doesn't Not built

  • Process card or online payments, or sync with a bank or accounting system
  • Send or receive texts or email
  • Order parts, decode VINs or supply labor-time data
